Main Objective: The Communications Coordinator will provide administrative, logistical and project management support for the Corporate Communications department and all of its sub-teams. This role is highly collaborative, and requires the ability to complete a variety of tasks as directed, while exhibiting initiative and professionalism.

Essential Duties and Responsibilities: 

  • Manage and execute administrative tasks and duties for Corporate Communications, including invoices/billing, expense reports, travel arrangements, supplies and other clerical duties.
  • Coordinate various PR and community relations efforts, including campus tours, educational programs/seminars and speaking engagements.
  • Coordinate with various departments on business meetings and tours for visiting surgeons, sales representatives and other business and health care professionals.
  • Manage the employee ticket distribution program.
  • Manage the employee Years of Service traveling flag program.
  • Provide organizational support and coordination for photography shoots; assist with photographic print framing and delivery, as well as other tasks for the photography team as assigned.
  • Perform data entry, data maintenance and other aggregation tasks as assigned.
  • Provide general meeting support including planning, notices, minutes and other correspondence.
  • Support various project management activities within the department as assigned.
  • Serve as the Corporate Communications representative on the AskMarketing Support Team.
  • Maintain various print and online subscription services for the department, as well as memberships in various professional organizations.
  • Serve as a valuable resource to team members, providing general support, anticipating needs and troubleshooting various issues.
  • Additional administrative tasks and special projects as assigned.

Education and Experience:

  • High school diploma or equivalent required
  • Bachelor’s Degree preferred
  • 1 years general office experience required
  • Experience working with or on a Communications or Marketing team preferred
  • Experience in community relations and/or event planning preferred

Knowledge and Skill Requirements/Specialized Courses and/or Training:

  • Strong interpersonal, communication and customer service skills
  • Proven ability to organize a multitude of tasks, projects and information simultaneously
  • Superior data-entry skills and attention to detail
  • Motivation to learn and work in a high-performance environment
  • Desire and ability to think critically and solve problems effectively
  • Ability to meet deadlines and adapt to changing priorities
  • Excellent time management and project organization skills

Machine, Tools, and/or Equipment Skills:

  • Macintosh or PC platform
  • Proficiency required in Microsoft Word, Excel and PowerPoint
  • General familiarity with marketing automation and social media platforms for business

Reasoning Ability:

Ability to define problems, collect data, establish facts, and draw valid conclusions.  Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Mathematical Skills

Ability to comprehend and apply mathematical principles to the degree required to perform the job based upon job requirements. 

Language and Communication Skills:

Ability to comprehend and apply language skills to the degree required to perform the job based upon the job requirements listed above.  Ability to verbally communicate ideas and issues effectively to other team members and management.  Ability to write and record data and information as required by procedures.
